This Privacy Policy explains how Payroa, Inc. ("Payroa," "we" or "us") collects, uses, shares and protects personal information when you visit our website, use our dashboard or mobile app, or receive pay or a card through an employer that uses Payroa.
1. Information we collect
Information you or your employer provide
- Identity and contact details: name, email, phone number, home address, date of birth.
- Employment and pay details: job title, pay rate, hours worked, tax withholding elections, deductions.
- Government identifiers: Social Security number or ITIN, used for tax reporting and identity verification.
- Financial details: bank account and routing numbers, debit card details for payouts.
- Business information: legal name, EIN, ownership and the identity of beneficial owners.
Information collected automatically
- Device, browser and log data, including IP address and pages visited.
- Card transaction data, such as merchant, amount, date and location.
- Cookies used to keep you signed in and to understand how our website is used.
Information from third parties
We receive information from identity verification providers, our partner bank [Issuing Bank, N.A.], card networks, and, when you add a card to Apple Wallet, limited information from Apple needed to provision the card and prevent fraud.
2. How we use information
- To calculate and send pay, file payroll taxes and produce tax forms.
- To issue cards, authorize transactions and support digital wallets such as Apple Pay.
- To verify identity, prevent fraud and comply with anti-money-laundering and sanctions laws.
- To provide customer support and send service messages.
- To maintain, secure and improve our Services.
We do not sell personal information, and we do not use payroll or card transaction data for third-party advertising.
3. How we share information
- Your employer, which administers your pay and card.
- Our partner bank and card network, to issue cards and process transactions.
- Government agencies, for tax filings and when required by law.
- Service providers who process data on our behalf under contract, such as hosting, verification and support tools.
- Digital wallet providers, such as Apple, when you choose to add your card to a wallet.
- In connection with a merger, acquisition or sale of assets, subject to this Policy.
4. Data security
We protect personal information with encryption in transit and at rest, role-based access controls, two-factor authentication for administrators, and regular security testing. Card numbers are stored by our card processing partner in a PCI DSS compliant environment.
5. Data retention
We keep payroll and tax records for as long as required by law (generally at least seven years) and other information only as long as needed for the purposes described in this Policy.
6. Your choices and rights
You can access and update much of your information in the Payroa app. Depending on where you live, you may have the right to request access to, correction of or deletion of your personal information, subject to legal retention requirements. California residents may exercise rights under the CCPA. To make a request, email privacy@payroa.org. We will not discriminate against you for exercising your rights.
7. Children
Our Services are not directed to children under 16, and we do not knowingly collect their personal information.
8. Changes
We may update this Policy from time to time. If we make material changes, we will notify you by email or through the Services before they take effect.
